Public Relations and Events Manager


IMDEA Materials Institute is a public research organization founded in 2007 by Madrid’s regional government to carry out research of excellence in Material Science and Engineering by attracting talent from all over the world to work in an international and multidisciplinary environment. IMDEA Materials has grown rapidly since its foundation and currently includes more than 120 researchers from 22 nationalities and has become one of the leading research centers in materials in Europe which has received the María de Maeztu seal of excellence from the Spanish government. The research activities have been focused on the areas of materials for transport, energy, and health care and the Institute has state-of-the-art facilities for processing, characterization and simulation of advanced materials.

Description

Key Responsibilities of the position:

Event Management

  • Plan, organize, and oversee internal and external events (conferences, workshops, seminars, institutional visits, etc.).
  • Design and implement programs that strengthen internal collaboration and institutional culture.
  • Ensure smooth execution of approximately 60 events annually, including budgeting and logistics.
  • Coordinate with suppliers and manage purchasing processes, including ordering and distributing institutional merchandise for events and outreach initiatives.
  • Prepare reports, presentations, and studies related to facility rentals.
  • Update content on the institute’s website and internal management system (IDINET).

Outreach Activities

  • Develop and implement outreach programs to engage employees, alumni, industry partners, and academic institutions.
  • Organize activities that promote institutional visibility and strengthen external relationships.

Executive Assistance

  • Provide high-level administrative support to senior management.
  • Provide support with onboarding activities to international researchers.
  • Supervise one staff member within the events team.

Requirements

Academic qualifications:

  • Bachelor’s degree or Higher Vocational Training in Event Management, Tourism, Public Relations, or related fields.
  • Master's degree in Protocol, or a similar field.

Professional experience:

  • Minimum 6 years in similar roles within public research organizations.
  • Experience in event management (specifically international and national conferences).
  • Experience in coordinating outreach and dissemination activities.
  • Experience in organising internal engagement initiatives.
  • Experience in providing soft-landing services to international researchers.

Technical skills:

  • Proficient in Microsoft Office (preferably Office 365), especially Excel and Word.
  • Previous experience in multicultural work environments.
  • Knowledge of IDINET and Bizneo (desirable).

Languages:

  • Advanced English level (B2).
